Calendar and session collaboration

The calendar ties saved sessions to specific days. That way you, your co-coaches and team management know what is planned each Tuesday, and don't have to remember which template was used last time.

Putting a session on a date

Pick a date in the calendar and connect a saved session. You can move or update later if the gym time changes.

You need to have saved the session in your session list first. On Planr Basic the limit of three saved sessions applies, so you'll need to delete or archive more often. Pro, Pro + AI and Hub have unlimited.

Switching between several teams

If you have multiple teams in Planr, use the team picker at the top so you see the right calendar. The most common mistake is putting a session on the wrong team's timeline and then wondering why a colleague can't see it.

Session list vs calendar

Think of the session list as recipes and the calendar as the weekly menu. The session list is the templates you reuse; the calendar is when you actually run them.

Co-coach and collaboration

Many teams have several coaches. Planr supports multiple people working on the same team calendar when the club has added the users to the team with the correct role.

Typical roles

  • The head coach plans the bulk of sessions and the long-term plan.
  • A co-coach plans the sessions they're responsible for (e.g. goalkeeper or physical), or updates when the head coach is away.
  • The team leader often doesn't have a Planr account, but follows along via the shared calendar or the club's channels.

Notifications when things change

When a co-coach adds or edits a session, other coaches on the team can get a notification. You decide yourself whether you want it on email or push under your notification settings. See Email and push notifications.

Collaborate without overwriting each other

Speak up in the team chat or on the board when you make big changes on the same day ("I moved Tuesday's session to Wednesday"). Use the session description if you want to explain why something was changed.

Access issues in a club

  • "I can't see the team": you haven't been added by the club's administrator, or you're signed in with the wrong account.
  • "I can't edit": your role may be "read only" or the club has its own restrictions.
  • "I can't see the club drills": they aren't shared with the club, or you're not in the right club context.

Planr support cannot give you admin rights without confirmation from the club's responsible person.

Coach changes and leaving a club

When someone stops as a club coach, the administrator removes the connection in Hub. The account isn't deleted, but is set back to Planr Basic with Basic's limits. You keep your own content within those limits; the club's shared library and teams you're no longer part of, you lose access to. See Account, password and sign-in.

What you see as a signed-in coach is not what parents see. To give parents an overview without an account, use Shared calendar for players and parents.

Troubleshooting

The session doesn't show up

Check the team selection, the right month, and that the session wasn't deleted from the session list at the same time as it was removed from the calendar.

Wrong time zone or time

Refresh the page. If it persists, contact support and describe what you see.

Tips for good calendar discipline

  • Plan at least one week ahead so the equipment manager can prepare.
  • Add small notes on days without a session (match, day off, gathering) if the calendar should be the only source of truth.
